Clients go to Xero as contacts, invoices as sales invoices with their lines and tax, and payments as Xero payments in the bank account that you map. Credit balance applied to an invoice is sent too. Refunds and cancelled invoices update Xero. A deleted client is archived in Xero.

Can payments that I enter in Xero come back to WHMCS?

Yes. Add the webhook URL from the Settings tab to your Xero app and turn on the option. A payment that you enter in Xero is then recorded on the WHMCS invoice.

Will the Xero totals match my WHMCS totals?

Yes. The addon uses the line and tax amounts that WHMCS calculates. If a rounding difference remains, it adds a rounding line to the account that you choose.

What happens if Xero is not available?

Nothing is lost. The change stays in the queue, and the addon tries again with the next cron run. Checkout and invoice creation in WHMCS never wait for Xero. If the connection stops, the dashboard shows the problem and your admins get an email.

Can I send my older clients and invoices?

Yes. On the Sync tab, select a start date and queue the clients and invoices. You can also send one client again.

Every change goes through a background queue that obeys the Xero rate limits and tries again after a temporary error. A daily check finds the invoices that need a correction. The connection renews itself, and if it stops, your admins get an email.

Map it to your chart of accounts

Map each WHMCS tax to a Xero tax rate, each gateway and currency to a bank account, each product to a sales account and an item, and each product group to a sales account and a tracking category. The Xero lists load directly into the mapping page.
